Administrative Assistant
Position Description


Overview:

St. Paul's Episcopal Church in DeKalb, Illinois seeks a part-time (20 hour) personable, gifted and creative administrative assistant. Working closely with and under the supervision of the Rector, the assistant performs basic office functions, prepares church documents and brochures, assists with the maintenance of the church website, provides light bookkeeping assistance to the Treasurer, and exercises independent judgment in a dynamic and flexible work environment.

Position Requirements:

High School Diploma (or equivalent) required.

Associates Degree, prior experience in an office support position and/or familiarity with mainline liturgy and church practices preferred.

Applicants will be required to submit to a background check and other training required by the Episcopal Diocese of Chicago.

Current and former members of St. Paul's church are not eligible for this position.

Responsibilities:

  • Answer telephone and route messages to the appropriate party
  • Coordinate volunteers as needed by the Rector
  • Maintain church membership database
  • Produce documents, creative church bulletins, announcement pages,
     prayer lists, newsletter, new member packets, annual report and
     membership section of parochial report
  • Produce financial and membership reports
  • Code expenses, process invoices, secure necessary approvals and paperwork
     for church expenses, and issue manual checks as needed
  • Responsible for office equipment including contracts, supplies and securing 
     maintenance and updating as necessary
  • Assist members and visitors as necessary
  • Maintain all official church files per Chapter IX of the Episcopal Church's 
     Manual of Business Methods in Church Affairs
  • Maintain and schedule Church calendar
  • Produce documents for Vestry as needed
  • Provide administrative support for and take direction from the Rector

Skills and Personal Qualities:

  • Attentive to detail
  • Maintains confidentiality and boundaries in the workplace
  • Comfortable with modern office equipment (computer, phone, copier)
  • Strong proficiency with Microsoft Office (Excel, Word, Access, PowerPoint)
     Adobe Acrobat, and Microsoft Publisher
  • Strong typing and writing skills including excellent grammar and spelling
  • Excellent interpersonal skills and a sense of humor
  • Able to excel in a dynamic work environment with occasional interruption
  • Good time management skills
  • Able to prioritize tasks and act independently
  • Comfortable with constructive criticism and feedback
     designed to improve performance
  • Strong computer skills including the ability to research intelligently on the Internet
  • Familiar with website maintenance and e-mail programs
     (including Constant Contact or the equivalent)
  • Flexible
  • Able to collaborate with and take direction from the Rector

Benefits:

Hours: 20 Hours per week

Vacation: After first 12 consecutive months of employment, one week of paid vacation.

Salary: Negotiable based on experience

Benefits: Defined contribution pension plan available after first 12 months of employment
